Jesus College - Junior Dean

The appointment of a Junior Dean at Jesus College, will be to support Student Discipline, Student Welfare and working with the Lodge Team to provide support. This post is a one-year appointment. The appointment may be renewed for one further year following a review process with the Dean.

The College’s aim is to make it a place where everyone can pursue their studies, enjoy their free time and flourish both academically and socially.
The Junior Dean assists the Dean and other College Officers in the smooth running of the College, with particular regard to non-academic discipline and student welfare.  The Junior Dean works closely with the Dean, who is a Fellow of the College, and who bears the main responsibility for non-academic disciplinary matters.  
The Junior Dean works as part of a team of three Junior Deans, together they are expected to cover the College main site and two other sites (in North Oxford and East Oxford). All are expected to work as a collaborative team and to actively participate in College life and to be present around the College.

Key Responsibilities

The Junior Dean’s formal rota will be in place each term, running from 0th Week to 10th Week inclusive, with the exception of Trinity Term where the formal rota runs for an additional week as detailed below: 

Michaelmas: Sunday evening at the beginning of 0th week to Sunday morning at the beginning of 10th week
Hilary: Sunday evening at the beginning of 0th week to Sunday morning at the beginning of 10th week
Trinity: Sunday evening at the beginning of 0th week to Sunday morning at the beginning of 11th week

During these periods, a Junior Dean will be on call each night from 7pm to 8am the next morning and must reside in College every night, when on call.  The College needs Junior Dean cover every night during the period of duty.  The exact nights each covers must be agreed between the Junior Deans, who will be required to provide a rota to the Dean, Academic Director, Lodge, and Welfare Fellow.  In emergency situations the Junior Dean may also expected to respond outside of the times set out above.
During these times cover is from 7pm to 8am the next morning. When on 1st duty, the Junior Dean is expected to reside in the College accommodation overnight and be within 5-10 minutes of College at other times.
When on 2nd duty, the Junior Dean is expected to be contactable and in Oxford. For certain specific events, the Junior Dean on 2nd duty will be expected to assist the Junior Dean on 1st duty.
Outside of the term time periods defined above, you are not required to work fixed hours or on a rota. However, you will act as an informal contact for students who continue to reside in College accommodation, assist the Dean in disciplinary matters as they arise, and assist the welfare team as needed. While there is no formal rota outside of term time, it is requested that you inform the Dean when you will be absent from Oxford for periods more than 72 hours.
Any hours of work provided will be variable. When the formal rota is in effect, your actual hours of work per week will average 5-8 hours, as necessitated by the needs of the College. These hours will reduce outside of term time.
Students in the UK on Tier 4 student visas have restrictions on the number of hours per week that they may work. The Junior Dean, working with the Dean must ensure that these hours are not exceeded.
The post-holder may be asked to undertake first aid training, fire safety training, welfare training, and Junior Dean training.

Skills, Knowledge and Expertise

Candidates will be assessed on the basis of the criteria set out below and should ensure that their application provides evidence of how they meet these. In both the application and at interview candidates are expected to give examples of relevant experience, this need not be work experience, e.g. candidates may wish to give examples from study, voluntary work or skills gained in your family or social life.
Essential Criteria:
  • Be registered for a DPhil course of study at the University of Oxford, with at least two years of study remaining.
  • Be in good academic standing.
  • Be eligible to work in the UK. 
  • Excellent interpersonal skills and listening skills. 
  • Ability to effectively influence and/or persuade others.
  • Ability to gain respect and trust, show discretion, and act with integrity at all times.
  • High degree of personal responsibility, and able to exhibit personal initiative.
  • Excellent organisation skills.
  • Be able to work flexibly and effectively across teams, liaising with members of the Jesus College discipline and welfare teams, as well as other relevant parties across the University community.
  • Be able to work independently and under pressure.
  • Possess a flexible attitude.
  • Be able to take sound decisions in sensitive/challenging situations; be discrete and able to act in line with the College’s Confidentiality Policy.
  • Be confident in enforcing College rules and regulations in a firm and fair manner.
  • Good IT skills (email, accessing the Jesus College student database)

Desirable Criteria:
  • Experience of dealing with students or young people from a position of responsibility
  • Experience of the workings of a College or University
  • Peer Support Training
  • First-aid qualification
  • Experience of fostering an inclusive and welcoming environment and/or tackling discrimination

Applicants must obtain the agreement of their academic supervisor that their research or other academic commitments can be combined with the demands of the post. 

The successful candidate will be required to provide documentary evidence of their eligibility for employment in the United Kingdom.

Probation
There is a probationary period of three months, during which the period of notice on either side is one week within the first month of service, and one month after one month’s service, which must be given in writing.
